Getting started

How long does setup take?+

Most practitioners are running in an afternoon. A guided checklist walks you through your provider profile, weekly availability, your first client, your first session, and your first assessment. There is no migration project and no onboarding fee.

Can I switch from my current practice software?+

Yes. Bring your clients over and get set up the same day. Scheduling, notes, billing, and measurement all live in one place, so there is less to juggle after you switch.

Do I need to install anything?+

No. PsychApp runs entirely in the browser on desktop, tablet, and phone — including video sessions.

Can clients book directly from my website?+

Yes. Define your services (name, description, duration, rate), copy your public booking link from Settings, and put it anywhere — your website, an email signature, or social profiles. Clients pick a service and an open time inside your availability, and the appointment lands on your calendar with the client record created automatically.

Which assessments are included?+

A library of 24 validated instruments covering depression (PHQ-9, PHQ-2, EPDS), anxiety (GAD-7, GAD-2), trauma (PCL-5, PC-PTSD-5), substance use (AUDIT, CAGE), ADHD and bipolar screening (ASRS, MDQ), distress and functioning (DASS-21, K10, WHODAS 2.0), somatic symptoms (PHQ-15), and wellbeing (WHO-5, RSES, SWLS). Every administration is auto-scored with standard cut-offs and interpretation, and repeated measures chart as severity-banded trends on the client's record.

How do clinical notes work?+

Write notes against SOAP, DAP, intake, or templates you design yourself, with reusable quick-text snippets. Signing locks the record and starts an audit trail; corrections happen as time-stamped addenda, the way colleges expect.

What forms are built in?+

New-client intake, consent to treatment, telehealth consent, cancellation policy, release of information, an expanded adult history, couples intake, and an adolescent intake with guardian consent — plus a builder to create your own intake and consent forms with custom fields.

What is the Clinical AI Assistant?+

An optional add-on: an evidence-informed clinical consultant inside your workspace that answers practice questions in the language of the field, with numbered citations to literature and clinical guidelines that you can verify. It includes the Session Scribe, which — with your client's consent — transcribes a session in your browser and drafts a SOAP note for your review. It is decision support only; clinical judgment always remains with you.

Privacy & security

Is my clients' data kept in Canada?+

Yes. PsychApp is built for PHIPA and PIPEDA, and client data is hosted in the Canada Central region with encryption in transit and at rest.

Do my clients have to create an account?+

No. Clients can complete intake forms, assessments, book sessions, and join video calls through secure links without being forced to sign up. A full portal account is optional.

How do video sessions work, and are they private?+

Sessions run on PsychApp's own in-house video: encrypted media flows directly between you and your client (peer-to-peer), with no third-party video service involved. Rooms are unguessable links tied to the appointment, and each session has a pre-join lobby, a live timer, and a one-click handoff into writing the note.

Is audio stored when I use the Session Scribe?+

No. Transcription happens in your browser during the session; only the text transcript you can see is used to draft the note, and you review everything before saving. You are responsible for obtaining the client's consent before transcribing.

What does the free trial include?+

Every feature on your chosen plan for 14 days, with no credit card required. You only pay once you decide to keep going.

How does billing for my clients work?+

Create invoices in seconds, and generate claim-ready insurance receipts that carry your registration number and your client's insurance details — ready for extended-health benefit claims. Reports chart revenue, caseload, sessions per week, and no-show rates automatically.

Can I cancel anytime?+

Yes. Plans are month-to-month with no long-term contract. Cancel anytime and access continues to the end of the paid period. Your data remains exportable.

Do you send appointment reminders?+

Yes. Clients receive a branded confirmation email when they book online, and an automatic reminder 24 hours before every appointment — with the video join link included for telehealth sessions. You can turn reminders on or off in Settings.
